Connecting HubSpot to the Dusk FSM

How do I connect Dusk FSM to HubSpot?

To connect Dusk FSM to HubSpot, here is both a video tutorial and a step by step guide:

The first step after accessing your instance of the Dusk FSM is to:

  1. Go to System Settings->General and choose New Integration, then select HubSpot.
  2. Click Connect
  3. Authorise the Dusk FSM app to communicate with HubSpot and Click OK. There may be a Captcha box just below the bottom of the pop up window.
  4. Test the connection and a green Success button should show. If this does not work, please check step 3 again.

What can the Dusk FSM do with HubSpot?

  • Deal Stage change to create work - Choose which deal stage change triggers the creation of work in the Dusk FSM. By adding a custom field to your Deals and Tickets of Work Type, then populating with Single Task or Multi Task, you can create different work types accordingly. Reference Tool Tip below.
  • Source of truth - Choose whether the Dusk FSM or HubSpot is your source of truth for the Contact. If HubSpot is selected, the Dusk FSM will be updated accordingly with the latest information but not the other way around
  • Auto Sync New Contacts and New Products
  • Contact to Client Sync - Choose one or more clients by clicking in the text field. Your list of HubSpot contacts will show in here and one or more can be selected for synchronisation. Once they are synced, they appear in Operations->Clients within the Dusk FSM
  • Products to Materials Sync - Based on your HubSpot plan, sync Products with Materials in the Dusk FSM

Client Fields

  • HubSpot is the source of truth for the Client record - ticked = no changes back from the Dusk FSM to Hubspot
  • Auto Sync - As new Contacts are added in Hubspot, bring them in automatically to the Dusk FSM for work
  • Search box - search for specific Contacts in Hubspot and sync a selection or press Synchronize All

Product Fields

  • HubSpot is the source of truth for the Product record - ticked = no changes back from the Dusk FSM to Hubspot
  • Auto Sync - As new Products are added in HubSpot, bring them in automatically to the Dusk FSM for work
  • Search box - search for specific Products in HubSpot and sync a selection or press Synchronize All

Deals

  • Choose the Deal stage in HubSot that will create new Work. This is typically Closed Won, as this is confirmed work but can be any stage
  • If you want to update HubSpt once that work is completed to the same or different Deal Stage, choose that one here.

Tickets

  • Choose the Ticket status in HubSpot that will create new Work.
  • If you want to update HubSpot once that work is completed to the same or different Ticket Status, choose that one here.

Sales Pipeline

  • This functionality allows your Dusk FSM staff to see the Deals coming down the Pipeline. You can sync one or more Deal Stages and decide on whether new Quotes can be sent back to HubSpot
  • One way sync deal stages - select the deal stage(s) and head to Sales Orders, Pipeline to see the deal stage shown in a Read Only view here. This is updated as the Deals are updated in HubSpot
  • Two way sync deal stages - select the deal stage and head to Sales Orders, Pipeline to see the deal stage shown here in a Read Only view. This is updated as the Deals are updated in Hubspot. The difference with this option is by clicking on the Quotes tab, when a new Quote is created, the Deal stage is shown in the Status drop down. By selecting that deal stage from HubSpot, once the Quote is created, it will send it back to HubSpot as that Deal stage. Note - if you have created a new product in the Dusk FSM and you have HubSpot as your source of truth ticked, the new Product won’t be shown in HubSpot.

Showing Custom Properties from HubSpot

  • From the Form Builder, drag the field labelled HubSpot onto the canvas. HubSpot icon

From there, you can choose the Object and Property that you’d like to show in the Dusk FSM form. This is a Read-Only view of the HubSpot data and cannot be updated back to HubSpot through here.

Disconnecting HubSpot

  • Go to System Settings->General and choose the HubSpot icon.
  • Select Disconnect
