5. Creating and Managing a Request For Quotation

A Request For Quote can be sent to one or more Suppliers at a time.

1. Navigate to Sales Orders-> Request For Quotes and click +Request For Quote
2. Choose one or more Supplier (these must be added under Suppliers before this step)
3. Choose a Project, which is optional
4. A Summary can be added, which is optional
5. Date is today's date and Expiry is the date the RFQ is valid through to
6. Reference is optional and provides a field to identify the RFQ by at the summary level
7. Item can be selected from the Materials area of the Dusk FSM (if it exists already) or an Item can be added manually by typing
8. Description auto populates if the Item is taken from Materials. If the Item is manually entered, the Description also needs to be manually entered
9. Quantity is the number you would like to be quoted on by your Supplier
10. Unit Price should be left blank for the RFQ and is updated later, once your Supplier provides a quotation to you
11. Project Code is optional and is different to the Project field at the top. This field allows you to have different Project Codes per RFQ. If a Supplier is providing you quotes on Items for different projects, this helps differentiate which projects they belong to.
12. Tax rate defaults to 10%
13. GL Code is populated from your accounting software, if the connector is used
14. Amounts are GST Inclusive/Exclusive is not required when sending out the RFQ
15. Terms such as dates, or specific information can be entered in this field, which is optional
16. Save - this should be selected first before Send
17. Send - this brings a window up to select the message and confirm the email addresses before clicking Send. There is also a Preview link to confirm everything is correct

+Add New Group - This allows you to categorise groups on your RFQ
+Add New Line - This is used for adding new item entries to your RFQ
Back on the summary screen for Request For Quote, a green tick on the end is used to Approve the RFQ. Clicking this creates a Purchase Order.
