## **Dusk FSM Setup Tips and Best Practices**

This guide walks through the recommended setup steps for configuring assets, building work types, scheduling work, managing materials, and enabling accurate billing in Dusk FSM. Follow these steps to establish a clean, consistent, and scalable configuration across your environment.

### 📌 **1. Configure Asset Forms**

**Add a Location Field and Address Details**

Add a **Location** field to the **Assets** form, enable **Display address details** and **Lat/Long**, then save and verify the results on the asset’s profile.

**Ensure Customer Linkage**

Ensure **Customer** is selected in **Work Settings → Work operations** so jobs depend correctly on customer → asset relationships.

**Add a Name Field**

Add a **Name** field to the **Assets** form to prevent “undefined” labels appearing in dropdowns and lookup fields.

**Enable Efficient Navigation**

Pin the **left drawer** to allow quick switching between **Form Builder**, **Assets**, **Customers**, and **Work** modules.

### 📌 **2. Configure Job Associations**

**Set the Primary Association**

When creating jobs, set **Asset** as the **primary association** so the job inherits the asset’s details, history, and location.

**Add a Secondary Association (If Required)**

Use a **secondary association** (such as Customer) when jobs need a second linked entity.

**Verify Address Behaviour**

Confirm that jobs automatically populate the asset address. If no address exists, the system may use the default user location as a fallback.

### 📌 **3. Configure Asset List Views**

Go to **Form Builder → Settings (cog)** for the Assets form to:

* Set the **list display field** used in asset dropdowns
* Add useful **list view columns**, such as:

* Module Number
  * Make
  * Model
  * Location

This improves the clarity and accuracy of selecting assets during job creation.

### 📌 **4. Configure Work Types & Forms**

**Generate Forms Using AI**

Create new forms with the **AI form generator**. Try using the prompt to create a form for your industry e.g. FGAS in the UK, JSEA in Australia etc. and see the results. Edit if required.

**Attach Forms to Work Types**

Attach new forms to **Work Types** (for example, PPM).
Work Types act as bundled collections of forms and workflow rules.

**Manage Runtime Forms**

Add forms on the mobile app at run time when conditions change, and hide forms by user role when required.

### 📌 **5. Scheduling Work**

Use both scheduling interfaces depending on your workflow:

**Calendar View**

Use Calendar for quick drag-and-drop scheduling.

**Gantt View**

Use Gantt when working with longer projects or multi-day work.

**Rescheduling Actions**

Use **single click → Reschedule** to move work efficiently.

**Schedule vs. Schedule and Dispatch**

* **Schedule**: assigns the job but does not notify field staff
* **Schedule and Dispatch**: assigns and immediately dispatches to the mobile app

**Populate Materials**

In **Operations → Materials**, add all required materials, including:

* Cost
* Sell price
* Stock levels

**Assign Materials at Dispatch**

Assign materials during dispatch.
The app will allow staff to exceed scheduled quantities where necessary.

### 📌 **7. Time Capture**

**Staff Rates**

Set staff **default hourly sell rates** in **Personnel → Staff → Hourly rate**.

**Logging Time**

Use **Timesheets** to log time with a billable type, using the format:

```

Logged time will later be included in billing.

### 📌 **8. Invoicing Workflow**

To generate accurate invoices:

1. Complete the job
2. Include materials
3. Include logged time
4. Generate the invoice
5. Use the **Unbilled Time Dashboard** to view and bill all unbilled time per customer

This ensures consistent and reliable billing for labor and materials.

### ✅ **Recommended Setup Checklist**

* Set the asset **list display** to a clear identifier such as *Module Number + Location*
* Create **Work Types** (PPM, Callout, Installation), attach required forms, and set default allocated times
* Populate **Materials** with cost, sell price, and stock levels
* Set **staff hourly sell rates** and use Timesheets for additional billable work
* Use **Asset** as the primary association and **Customer** as secondary where needed
* Connect **HubSpot** and begin by creating **unassigned work** from Deals or Tickets
