## Getting Started with Zapier and Dusk FSM

Connect your Dusk FSM workspace to thousands of applications using Zapier to automate repetitive tasks and build powerful workflows without writing code. This guide walks you through connecting your Dusk FSM workspace, creating your first Zap, and configuring direct API access when required.

## What This Integration Does

The Dusk FSM integration for Zapier connects a Dusk FSM workspace to thousands of external applications, including Slack, Gmail, Google Sheets, Microsoft Excel, Trello, and many more, without requiring any programming.

Automated workflows (known as **Zaps**) can:

- Notify your team the moment new Work is created.
- Generate a Work Order from a new spreadsheet row.
- Send an email when Work is completed.
- Maintain a live log of Work Orders.

Every Zap consists of two parts:

**Trigger**  
The event that starts the Zap, for example **Work Created** in Dusk FSM.

**Action**  
The task performed after the trigger, for example posting a Slack message.

## Prerequisites

Before connecting Dusk FSM to Zapier, ensure you have:

1. **Dusk FSM Credentials**
   - Your Dusk FSM workspace email address and password.

2. **Workspace Address**
   - Your workspace address, for example `yourcompany.duskmobile.com`.
   - Only the first segment (`yourcompany`) is required.

3. **Zapier Account**
   - A free Zapier account is sufficient.
   - Sign up at https://zapier.com if required.

4. **Invitation Link**
   - The Zapier invitation supplied by Dusk Mobile that enables the Dusk FSM integration.

## Part A – Using Dusk FSM with Zapier

No technical configuration is required. Connect using your standard Dusk FSM login credentials.

### Step 1 – Accept the Invitation

1. Open the invitation link supplied by Dusk Mobile.
2. Sign in to Zapier, or create a free account.
3. Select **Accept Invite & Build a Zap**.

Once accepted, **Dusk FSM** becomes available within your Zapier account.

### Step 2 – Start a New Zap and Select Dusk FSM

1. Select **Create Zap** from the Zapier dashboard.
2. Search for **Dusk FSM** in the Trigger step and select it.
3. Choose a trigger event, such as **Work Created**, then continue.

### Step 3 – Connect the Dusk FSM Account

1. Select **Connect a new account**.
2. Enter your workspace name using only the first segment of the address.
   - Example: Enter **abc** for **abc.duskmobile.com**.
3. Sign in using your standard Dusk FSM credentials and authorise access.

## Available Triggers and Actions

### Triggers

| Trigger | Description |
|----------|-------------|
| **Work Created (Instant)** | Fires immediately when a new Work Order is created. |
| **Work Updated (Instant)** | Fires when a significant Work attribute changes. |
| **Work Completed (Instant)** | Fires when a Work Order is completed. |
| **New Work (Scheduled)** | Periodically checks for new or updated Work. |

### Actions

| Action | Description |
|----------|-------------|
| **Create Work** | Creates a new Work Order including custom form fields. |
| **Update Work** | Updates an existing Work Order. |

## Example – Notification When Work Is Created

Configure the trigger:

**Dusk FSM → Work Created**

Test the trigger to retrieve a sample Work record.

## Configure the Action – Send a Notification

1. Select **Email by Zapier → Send Outbound Email**.
2. Map the required Work Order fields into the email subject and body.
3. Test the action and confirm the email is received successfully.

## Example – Create Work from a Spreadsheet

1. Configure the trigger:
   - **Google Sheets → New Spreadsheet Row**
2. Configure the action:
   - **Dusk FSM → Create Work**
3. Map the spreadsheet columns to the required Dusk FSM fields.
   - **Name**
   - **Start Date**
   - **Due Date**
4. Test, publish, and activate the Zap.

| Name / Reference | Display name or reference code |
| Status | Unassigned, In Progress, Completed |
| Priority | Low, Medium, High, Urgent |
| Customer Details | Name, email and phone |
| Start / End Date | Scheduled and due dates |

| Job Type / Category | Workspace classification |
| Custom Form Fields | Every custom field can be individually mapped |

## Part B – Direct API Access

Use API Access when a developer needs to integrate directly with Dusk FSM instead of using Zapier.

### Step 1 – Open the API Access Screen

1. Sign in to Dusk FSM as an Administrator.
2. Navigate to **System Settings → API Access**.

### Step 2 – Create a New API Client

1. Select **+ New Token**.
2. Enter a descriptive name.
3. Select only the permissions required for the integration.

### Step 3 – Create the OAuth Client

1. Select **+ OAuth Client**.
2. Enter the developer's Redirect URL.

### Record and Secure the Credentials

The **Client ID** and **Client Secret** are displayed on the API Access screen.

Provide these credentials to your developer using a secure method. Never send the **Client Secret** using unencrypted email or chat.

## ❓ Frequently Asked Questions

### Why can't I connect my Dusk FSM workspace?

Verify that you entered only the workspace name. Do not include:

- `https://`
- periods (`.`)
- `.duskmobile.com`

For example, if your workspace is:

`abc.duskmobile.com`

enter only:

`abc`

### Why isn't my Zap running?

First, confirm the Zap is switched **On**.

If it is enabled, review **Zap History** to identify any errors preventing the Zap from running.

### Why do I receive an "Invalid Field" error when creating Work?

The following fields are mandatory when using the **Create Work** action:

- Name
- Start Date
- Due Date

Also ensure the **Due Date** is the same as or later than the **Start Date**.

### My trigger stopped working. How do I fix it?

Turn the Zap **Off**, then **On** again to re-establish the subscription.

---

### I lost my Client Secret. What should I do?

Generate a new Client Secret from **API Access**.

> **Note:** Once regenerated, the previous Client Secret immediately becomes invalid.
