How to Use HubSpot Forms from Dusk FSM Work

## How to Use HubSpot Forms from Dusk FSM Work

Dusk FSM can pass links contained in a **HubSpot Deal or Ticket Description** through to Work created in Dusk FSM.

This allows field technicians to open linked resources directly from the **Dusk FSM mobile app**.

One particularly useful application is linking to a **HubSpot Form**. A technician can open and complete the HubSpot Form while onsite, allowing information collected during a field visit to be written directly into HubSpot.

This can be useful when information belongs primarily in your CRM and does not need to be captured as a Dusk FSM field or mapped between the two platforms.

---

## 💡 Example: Post-Installation Customer Follow-Up

A technician completing an installation may need to capture information that is useful to sales, customer service, or account management rather than the field service record itself.

For example, a HubSpot Form could capture:

* Customer contact details
* Preferred contact method
* Customer feedback
* Whether follow-up is required
* Other CRM information collected during the visit

The technician completes the Form from their Dusk FSM Work, and the submitted information is captured directly by HubSpot.

This complements Dusk FSM Forms, which can continue to be used for operational information such as installation details, inspections, equipment information, photos, signatures, and other field service records.

---

## 📝 Step 1: Create the Form in HubSpot

Create the Form in HubSpot containing the information you want the technician to capture.

For example, a **Post Install Survey Form** could include:

* First Name
* Last Name
* Email
* Preferred Contact Method
* Feedback Notes
* Follow-up Required

Once the Form is ready, make it available using its standalone HubSpot Form URL.

---

## 🔗 Step 2: Add the HubSpot Form Link to the Deal or Ticket

Open the relevant **Deal or Ticket** in HubSpot.

Add the HubSpot Form URL to the **Description** field.

The Description can contain a HubSpot Form link or another supported web link that needs to be available to the field technician.

---

## ➕ Step 3: Create Work in Dusk FSM

Create the Work from the HubSpot Deal or Ticket using the Dusk FSM integration.

There is no requirement to use Zapier for this process. Dusk FSM can create Work directly from configured **HubSpot Deals and Tickets**.

When the Work is created, the HubSpot Description is passed into the **Description** field of the Dusk FSM Work.

---

## 📱 Step 4: Dispatch the Work to the Technician

Assign and dispatch the Work as normal.

When the technician opens the Work in the **Dusk FSM mobile app**, the information passed from the HubSpot Description is available within the **Work Description**.

Links contained within the Description are displayed as clickable links.

---

## 📋 Step 5: Open the HubSpot Form

The technician can select the link from the Work Description.

The linked HubSpot Form opens from within the technician's workflow, allowing the technician to enter the required information while onsite.

Once submitted, the Form information is sent directly to **HubSpot**.

This means information intended for your CRM can be collected by field teams without first creating equivalent fields in Dusk FSM and synchronizing those fields back to HubSpot.

---

## 🔄 When Should I Use a HubSpot Form Instead of a Dusk FSM Form?

The two approaches serve different purposes.

| Use Dusk FSM Forms for | Use linked HubSpot Forms for |
| --- | --- |
| Installation records | CRM contact information |
| Inspections | Customer follow-up information |
| Equipment and Asset information | Sales follow-up |
| Photos and field evidence | Customer preferences |
| Technician checklists | CRM-specific surveys |
| Signatures | Information primarily managed in HubSpot |
| Operational and compliance records | Account management information |

A field visit can use **both**.

For example, the technician could complete a Dusk FSM installation Form to record the work performed and then open a linked HubSpot Form to capture customer feedback and indicate whether a sales follow-up is required.

---

## 💡 Reducing the Need for Custom Property Mapping

Linked Forms provide another option when designing your Dusk FSM and HubSpot integration.

If information needs to become operational Dusk FSM data, mapping the relevant HubSpot and Dusk FSM fields may still be appropriate.

However, if information ultimately belongs in HubSpot, a linked HubSpot Form can allow the technician to enter that information **directly into HubSpot**.

This can reduce the need to:

* Create equivalent custom fields in both platforms
* Maintain additional field mappings
* Synchronize CRM-only information through Dusk FSM
* Add unnecessary CRM information to the field service data model

The appropriate approach depends on where the information needs to be stored and how it will be used.

---

## 🌐 Internet Connection Required

External links, including HubSpot Forms, require an **active internet connection**.

While Dusk FSM supports mobile field workflows in offline environments, linked external web content cannot be opened or submitted while the device is offline.

If information must be captured when technicians have no connectivity, use a **Dusk FSM Form** designed for offline field use instead.

## ❓ Frequently Asked Questions

**Q: Can I add a HubSpot Form link to a Deal Description?**
A: Yes. A HubSpot Form URL can be added to the Description of a Deal and passed through to Work created in Dusk FSM.

**Q: Does this also work with HubSpot Tickets?**
A: Yes. Links contained in the Description can also be passed from HubSpot Tickets when creating Work in Dusk FSM.

**Q: Does the technician need to manually copy the URL?**
A: No. The URL is displayed as a clickable link in the Work Description in the Dusk FSM mobile app.

**Q: Where does information entered into the HubSpot Form go?**
A: The Form is submitted directly to HubSpot. This is useful for information that should be managed within HubSpot rather than stored as operational data in Dusk FSM.

**Q: Does this replace Dusk FSM Forms?**
A: No. Dusk FSM Forms are designed for operational field data, inspections, checklists, photos, signatures, equipment information, compliance records, and other field service requirements. Linked HubSpot Forms provide an additional option for information that should be captured directly in HubSpot.

**Q: Can technicians use a linked HubSpot Form offline?**
A: No. An active internet connection is required to open and submit external web Forms. For offline data capture, use Dusk FSM Forms.

**Q: Do I need Zapier to create the Work?**
A: No. Dusk FSM's HubSpot integration can automatically create Work directly from configured HubSpot Deal Stages and Ticket Statuses.
