## 📦 How to Create and Send a Request for Quotation RFQ in Dusk FSM

The **Request for Quotation (RFQ)** module in Dusk FSM allows you to request pricing from one or multiple suppliers, compare responses, and streamline the procurement process.

RFQs can be linked to specific Work, Projects, or operational activities and can be converted into Purchase Orders once approved.

### 🧾 Creating a New Request for Quotation

1. Navigate to **Sales → Request for Quotation**.
2. Click **+Request for Quotation**.

From the RFQ screen:

* Select one or more **Suppliers**.
* (Optional) Select the related **Work** or **Project**.
* (Optional) Enter a **Summary** for internal reference.
* Review the default **Date**.
* Enter an **Expiry Date** for supplier responses.
* (Optional) Add a **Reference** number for tracking purposes.

> 📌 Suppliers must already exist within Dusk FSM before they can be selected on an RFQ.

### 🛠️ Adding Items to the RFQ

RFQs can contain one or many line items.

Each line item includes:

| Field                    | Description                                            |
| ------------------------ | ------------------------------------------------------ |
| **Item**                 | Select from Materials or enter manually                |
| **Description**          | Automatically populated or manually entered            |
| **Quantity**             | Required quantity                                      |
| **Unit Price**           | Left blank for suppliers to complete                   |
| **Work or Project Code** | Optional                                               |
| **Tax Rate**             | Defaults based on system settings                      |
| **Account Code**         | Populated from accounting integrations where available |
| **Terms**                | Optional delivery or payment instructions              |

You can further organize your RFQ using:

* **+Add New Group** to create sections
* **+Add New Line** to add additional items
* Drag-and-drop handles to reorder line items

### 🖼️ Adding Your Business Logo

To display your company branding on RFQ documents:

1. Navigate to **System Settings → General → Business Logo**
2. Click **Edit**
3. Upload or select a logo
4. Click **Save**

The updated logo will automatically appear on newly generated RFQs.

### 🔢 Editing the RFQ Number

Each RFQ is automatically assigned a unique number.

To change the RFQ number:

1. Double-click the RFQ number.
2. Enter the new value.
3. Press **Enter** to save.

This can be useful when aligning RFQs with supplier or internal procurement processes.

### 💾 Saving and Sending the RFQ

Once the RFQ has been completed:

1. Click **Save** to store the RFQ as a draft.
2. Click **Send** to email the RFQ to selected suppliers.

The send window allows you to:

* Select an email template
* Confirm supplier email addresses
* Edit the email message
* Preview the RFQ PDF before sending

> 📢 A single RFQ can be sent to multiple suppliers, making it easy to compare pricing and responses.

### ✅ Approving an RFQ and Creating a Purchase Order

Once supplier pricing has been received:

1. Update the RFQ line items with the supplier pricing.
2. Review the completed RFQ.
3. Click the **✅ Approve** icon.

Approving an RFQ automatically creates a corresponding **Purchase Order (PO)**, allowing procurement activities to continue without re-entering information.

* Use **Preview** to review the RFQ before sending.
* Include clear delivery and payment terms to improve supplier responses.
* Group related items together for easier supplier review.
* Use references and summaries to simplify reporting and procurement tracking.
